Non-binding summary
Spaces are private planning rooms (personal, family, home, meals, celebration, travel). You control members and share links. Nearby Matches share only anonymised commercial intent you consent to — not your lists, recipes, or household notes. Consumer plans (Free, Plus, VIP / Smart Zlox) set capacity. AI meal and shopping help is assistive only and is not nutrition or medical advice. Travel bookings in a Travel Space still follow the Travel Booking Terms.
1. Who this policy applies to
This policy applies to consumer app users who create, join, or visit a Space, use share links, enable Nearby Matches, use AI meal/shopping features, or subscribe to a consumer plan. It applies together with our Terms and Conditions, Privacy Policy, and Acceptable Use Policy. For flights, stays, and cars it also applies together with the Travel Booking Terms.
Merchant loyalty, ZloxPay, events, tokens, and employee terminals remain governed by the merchant documents. This policy does not make Zlox a party to household arrangements between members.
2. What a Space is
A Space is a private workspace in the Zlox app. Theme is chosen when the Space is created and is not later changed. Current consumer themes include:
- Personal — your private planner, wallet overview, and personal matching preferences.
- Family — shared family planning, members, and (where enabled) shared loyalty cards.
- Home — household tasks, lists, and home organisation.
- Meals & shopping — pantry, recipes, meal suggestions, and shopping lists.
- Celebration — events, guest lists, RSVPs, wishlists, and related tasks.
- Travel — trips, documents you choose to store, and travel bookings made through Zlox.
Other themes (for example planning, school, or project) may be hidden, added, or withdrawn. Zlox may limit how many Spaces of each type you can keep, based on your consumer plan.
Content you put in a Space (notes, lists, photos, pantry items, budgets, RSVPs, tasks) is User Content. Members you invite can see and, depending on their role, edit that content. Zlox does not use Space content to train public AI models for other customers.
3. Members, roles, and children
The Space owner is responsible for who is invited and for the accuracy of member details. Members must be invited with an identifier they control (typically email or an existing Zlox account). Do not add someone without a reasonable basis to include them in that household or trip.
App users must be at least sixteen (16). A Family or similar household Space must be owned by an adult eighteen (18) or over. That adult is responsible for any younger household members they add, for parental permissions, and for content those members can see. Zlox is not a childcare, school, or medical service.
When a member leaves or is removed, they lose further access. Copies they already downloaded or screenshotted are outside Zlox’s control. The owner can delete the Space; deletion is subject to backups, legal retention, and content still needed for a completed travel booking or payment.
4. Share links, guests, and RSVPs
You may create an unlisted share link so guests can view or contribute (for example RSVP, wishlist, or a limited shopping list) without a full Zlox account. Anyone with the link (and passcode, if you set one) can use the permissions you enabled. Treat the link like a password.
Guest names, emails, RSVP answers, and contributions are personal data. The Space owner is responsible for telling guests why their data is collected and for not publishing a share link more widely than needed. Zlox processes guest data to operate the link, prevent abuse, and show the contribution to members. Access may be logged.
Do not use share links to collect special-category data, payment-card numbers, or copies of identity documents. Disable or rotate a link if it is leaked.
5. Nearby Matches and merchant matching
Nearby Matches is optional and consent-based. It is not on by default for a Space. When you enable matching at a consent level you choose, Zlox may share with nearby or relevant merchants only an anonymised commercial intent signal (for example “looking for a baker this weekend in this area”, or a capability such as “can host 20 guests”).
Matching is designed so that the following are not sent to merchants as part of the match payload: your full name, exact home address, phone number, email, Space notes, recipes, pantry contents, budgets, guest lists, or other household content. Merchants receive enough context to decide whether they can fulfil a need. They do not receive a copy of your Space.
You can change or withdraw matching consent in the Space. Withdrawal stops new match sharing. A merchant you already contacted, or who already received a lawful lead through another channel (QR, visit, booking), is not retroactively erased from that separate relationship.
Merchants who participate in matching must keep capability profiles accurate, must not use match signals to profile people in a prohibited way, and must not attempt to re-identify users from anonymised intent. Zlox may throttle, anonymise further, or disable matching to prevent abuse.
Location used for “nearby” is approximate where possible. Precise GPS is only used where you have enabled location permission for that purpose (for example SmartSpots or store discovery). See the Privacy Policy.
6. AI recipes, meals, and shopping help
In a Meals Space, Zlox may offer optional AI features such as: suggesting meals from pantry leftovers, generating or parsing a recipe from text or a photo, adding ingredients to a shopping list, and (on higher plans) voice or photo shopping input or an ingredient/book scanner.
These features send the prompts, photos, or audio you submit, plus limited pantry/list context needed for the suggestion, to our AI processors (currently including OpenAI). Outputs can be wrong, incomplete, allergenic, or unsafe for a particular person. AI meal output is not nutrition, allergy, dietetic, or medical advice. You must review ingredients against your own allergies and dietary needs before cooking or serving food, especially to children or guests.
Do not upload photos of other people, identity documents, or confidential menus you are not allowed to share. Metered AI features may count against your consumer plan or a usage cap shown in the app.
Further AI, microphone, and translation rules are in the AI, Audio & Translation Policy.
7. Consumer plans (Free, Plus, VIP / Smart Zlox)
Consumer features may be offered in tiers, currently described in the app as Free, Plus, and VIP (including “Smart Zlox” entitlements). Exact names, prices, and limits may change. Typical differences include how many Spaces you may keep, member caps, AI suggestion volume, share-link options, matching, export, and travel-related extras.
Free is provided as-is within stated caps. Paid consumer plans are billed in advance through Mollie unless the app states otherwise. They renew automatically until you cancel in the app or store settings, subject to the notice shown at checkout. Unused Free/Plus/VIP allowances do not roll over unless we expressly say so.
Consumer plan fees are separate from merchant subscription packages and merchant tokens. VIP/Smart Zlox AI metering is not the same pool as merchant translation hours. If you buy through an app store, that store’s refund rules may apply in addition to Dutch/EU mandatory consumer law.
If a payment fails or a plan lapses, Zlox may freeze creation of new Spaces or paid-only features. Existing Space content is not deleted solely because a plan lapses, but you may need to upgrade or delete Spaces to return within Free caps.
Merchant Token & Billing Terms continue to govern merchant packages, locations, campaigns, employees, and merchant-purchased tokens.
8. Travel Spaces and Duffel bookings
A Travel Space can store trip notes and, where you book through Zlox, link to a flight, stay, or car reservation. Booking is sold as an intermediary via our booking partner (currently Duffel). After the airline or other supplier issues the ticket or reservation, that supplier is responsible for carriage, check-in, and boarding passes. A Zlox confirmation is not a boarding pass. See the Travel Booking Terms.
Passenger names and travel-document details (including data captured with the camera from a passport machine-readable zone, if you use that helper) are used only to complete the booking and are shared with Duffel and the supplier. You must have permission to enter data for other passengers. Members of a Travel Space can see trip information you share in that Space; they do not automatically become passengers on the ticket.
Loyalty points that Zlox may award on a booking are a platform benefit, not a discount on the airline fare, and may be reversed if the booking is cancelled or charged back.
9. Wallet, tickets, widgets, and device features
The in-app wallet may show loyalty cards, booking confirmations, and other assets you add. Home-screen widgets may store a local copy of a QR or loyalty display on your device so you can open it without unlocking the full app. You are responsible for who can see your lock screen or widget.
Camera, microphone, Bluetooth/NFC (including venue or LEGIC-style access where enabled), and location are optional permissions. Zlox uses them only for the feature you invoked (scan, recipe photo, live translation, beacon, access). Turn them off in system settings to stop new collection.
10. Features that may be offered later
Zlox may, with extra in-app disclosure and consent where required, offer add-ons such as eSIM, activities tickets, gift-card fulfilment, retailer basket handoff, or open-banking purchase rewards. Those add-ons are not part of this policy until they are switched on for your account and you accept any extra terms shown at that time. We will not silently start processing bank account data or eSIM identity data under this document alone.
11. Your responsibilities
- Keep Space content lawful and respectful; do not harass members or guests.
- Do not use matching to spam merchants or to send false commercial intent.
- Do not scrape, resell, or bulk-export other members’ data.
- Review AI recipes for allergens and accuracy before use.
- Keep share links confidential and rotate them if leaked.
- Comply with the Acceptable Use Policy.
Zlox may suspend matching, share links, or a Space that is abused, and may preserve logs for security and legal claims.
12. Liability (consumer)
Mandatory Dutch and EU consumer protections still apply. Zlox is not liable for household disputes, food prepared from AI suggestions, merchant fulfilment after a match, or airline performance after ticket issuance, except where mandatory law says otherwise. Nothing excludes liability for intent, gross negligence where non-excludable, or death or personal injury caused by Zlox’s negligence where that exclusion is forbidden.
