1. Summary

This policy explains how optional AI, audio, transcription, and translation features work on Zlox, and your responsibilities when using them.

2. Scope

Applies to merchants, employees, ambassadors, and consumer app users who enable live translation, event audio, AI-assisted content, or related features.

3. Optional nature

These features are not required to use core loyalty functions. You may disable permissions in device or app settings; some features will not work without them.

4. Microphone permission and recording responsibility

Microphone access requires explicit device permission. Audio may be captured, streamed, transcribed, translated, or summarized only while a feature is actively in use. You are responsible for informing participants where required by law.

5. Consent and notice responsibility

Merchants and users must ensure a lawful basis (including consent or notice) before recording or processing speech involving other persons. Zlox does not provide legal advice on workplace, event, or consumer recording rules.

6. Transcription accuracy

Transcripts are automated and may contain errors, omissions, or misattributions. Review before publishing, billing, or relying on transcripts.

7. Translation accuracy

Translations are automated and may be incomplete or contextually wrong. Do not use translations to hide illegal, misleading, or regulated claims.

8. AI-generated content review

AI outputs are assistive only. You must review and approve AI-generated customer-facing content before publication. Zlox may disclose AI assistance where required.

9. Prohibited uses

  • Recording without required notice or consent
  • Emergency, medical, legal, financial, or safety-critical decisions based solely on AI/audio output
  • Uploading unlawful, confidential, or special-category data without lawful basis
  • Deceptive AI-generated marketing or impersonation

10. Third-party processors

Audio and AI may be processed by sub-processors listed in our Privacy Policy and DPA, such as hosting, translation, and AI providers.

11. Retention and deletion

Default retention: raw audio 30 days or less unless shorter merchant config; transcripts/translations per merchant/user settings and purpose. Merchants may configure shorter retention where available.

12. Human review and no professional advice

Outputs do not constitute professional, medical, legal, or financial advice. Human review is recommended before operational use.

13. Transparency notices

Where required, merchants must inform attendees that translation or recording is active. Zlox may display in-app notices during feature use.
